Transaction Import allows you to add giving records that originated in other systems to Pushpay in bulk. This is helpful if you used a different system prior to starting with Pushpay, or if you have been using multiple systems at once.
Importing transactions to Pushpay allows you to have one system of record without having to manually key in each transaction. With one system of record, you can use Pushpay’s Annual Giving Statements feature to print a single giving statement for your givers - instead of sending them multiple statements from each system.
Transaction Import is the best resource when transitioning from prior giving solutions, and want to keep historic records in one place after you deactivate the prior solutions. You can watch the below video to see the entire process, from start to finish.
How does it work?
To import transactions you must have a structured file containing transaction data, this can be obtained by exporting it from another system or it can be something you prepare manually.
During the import process you’ll be asked to match-up any new funds in your file with existing Pushpay funds, or create new ones.
If we recognize people in your file that already have Pushpay accounts, we’ll assign these imported transactions to them. If we find a new person we will create a record for them in Pushpay and add them to your community, they will then be recognized as the same person if you do any further imports.
Once the transactions are imported they appear in your transaction view with the source Imported alongside all other transactions from processed payments or those entered using Gift Entry.
We give you the option to send people who have transactions in your file an email to let them know that you’ve added some of their records to Pushpay with an app download link included.
Preparing your data
Preparing your data for import will probably carrying out some simple steps using a tools such as Microsoft Excel or Google Sheets.
We support two import formats and have detailed instructions on how to prepare your data for either
- Pushpay Format - a template and instructions that can be used with a wide range of data sources by renaming column labels
- Fellowship One X1050 Report - a default format that can be exported easily from Fellowship One
Subsequently refunded payments ideally should not be included in your import files, but can be removed later if necessary.
Importing your data
Once you have your data ready to import simply go to Transactions > Transaction Import in the Pushpay portal. You’ll be guided through the process.
It’s a simple process to upload your files and provide info about your import, in most cases it will take just a few minutes.

Note: Depending on the size of your file, verification can take some time. During this process, our system is looking for the applicable column header names, parsing the data, and ensuring there are no issues with the file. If any errors are found, we'll detail the issue and location within your file; you can then correct the errors and easily retry. More details can be found on our FAQ.
Step 4 - Match up the Funds
If we find an exact fund match based on the Fund name or code, we'll automatically match for you. For all others, you'll simply need to select the most appropriate existing Pushpay fund or create a new one.
Note: Newly created funds will not be made visible on any of your giving pages, nor do existing funds have to be visible in order to be matched.
Step 5 - Review and Confirm
We'll provide a brief summary of the import so you can ensure the totals match up before they are imported to Pushpay. You will also have the option to send email notifications to givers who do not already have a Pushpay account, inviting them to download an app to see their giving history and manage their account. Note: If your file contains a Time column in addition to Date, you'll have the opportunity to define the Timezone so the data can be converted properly. If your file does not contain a Time column, this setting will not affect the import.
Step 6 - Complete the Import
Once you’ve uploaded your files, we’ll process them. This can take some time, depending on the size of your import. We’ll send you an email once the process has completed and you can sign in to view a report on the imported transactions.
